Booking Terms

These Booking Terms apply to booking requests, curated travel arrangements, accommodation packages, premium event experiences, concierge services, and related lifestyle services arranged by Passport & Prosecco.
1. Booking Requests
Submitting a booking request does not create a confirmed booking. Requests are reviewed based on availability, suitability, supplier conditions, timelines, and client requirements.
All bookings remain subject to supplier availability and final confirmation.
2. Role of Passport & Prosecco
Passport & Prosecco acts as an intermediary between clients and third-party travel, hospitality, transportation, event, accommodation, and experience providers.
We coordinate, source, curate, and manage arrangements where possible, but third-party suppliers remain responsible for delivering the services they provide.
3. Quotations & Proposals
Quotes, proposals, itineraries, and package details are valid only for the period stated or until supplier availability changes. Prices, availability, inclusions, exclusions, and supplier conditions may change before final confirmation.
4. Confirmation & Payment
A booking is only confirmed once Passport & Prosecco has received required information, required payment, and written confirmation from the relevant supplier or internal confirmation from P&P.
Payments are processed securely through PayFast South Africa or other approved payment processors.
5. Client Information
Clients must provide accurate names, contact details, travel dates, guest details, special requirements, accessibility needs, dietary information, and travel documentation where required. Passport & Prosecco is not liable for booking issues caused by inaccurate, incomplete, or late information provided by a client.
6. Passports, Visas & Travel Requirements
Clients are responsible for obtaining valid passports, visas, permits, vaccination records, medical clearances, insurance, and destination entry documents. Passport & Prosecco may provide general guidance, but we do not guarantee visa approvals, entry approvals, airline boarding, or acceptance by authorities.
7. Travel Insurance
We strongly recommend that clients obtain comprehensive travel insurance covering cancellations, medical emergencies, baggage loss, travel delays, supplier failure, and other travel-related risks.
8. Changes Requested by Clients
Changes after confirmation may be subject to supplier availability, price changes, amendment fees, cancellation fees, and additional concierge or coordination fees.
9. Supplier Changes & Disruptions
Suppliers may change schedules, pricing, accommodation, transport, venues, seating, access rules, or availability. We will make reasonable efforts to assist clients, but cannot guarantee alternatives, refunds, or outcomes.
10. Force Majeure
We shall not be held liable for delays, cancellations, or disruptions caused by events beyond reasonable control, including pandemics, political unrest, airline disruptions, weather, strikes, terrorism, civil unrest, government restrictions, natural disasters, transport interruptions, supplier insolvency, or border closures.
11. Client Conduct
Clients are responsible for respectful conduct and compliance with supplier rules, venue rules, accommodation policies, airline rules, local laws, and destination requirements. Suppliers may refuse service for misconduct, unsafe behaviour, non-compliance, or failure to meet entry requirements.
